This guide covers how to:

  1. Choose or change your plan.
  2. Add, update or remove your card.
  3. Pay an invoice and view past invoices.
  4. Reactivate a suspended account, or cancel your account.

Navigate to Menu > Settings > Billing.

How Microkeeper bills you

Microkeeper bills monthly for the month before. The invoice for the past month is created on the 2nd of each month, and the card on file is charged on the 10th. There's no lock-in contract, and you can cancel at any time.

What you pay depends on your plan and how many active employees you have. Each plan on the Billing page shows its price and minimum charge.

Choose or change your plan

Under Plan Selection, each plan has a card: Payroll & STP Only, Standard and Enterprise. Your plan is marked Current Plan. To see which features each plan includes, click Compare our plans.

  • Upgrade: click Upgrade on a higher plan. It changes straight away.
  • Downgrade: with 10 or fewer active employees, click Downgrade. With more, contact Microkeeper, who check the features you use are included in the lower plan.
  • Enterprise: click Contact Sales, and choose to be called or send your details.

Before your first invoice, you can also enter a promo code in Add promo code and click Add.

Add your card

Add a card before your free month ends. Under Payment Details:

  1. Enter the Card Number.
  2. Choose the Expiry Date month and year.
  3. Enter the Name on Card.
  4. Click Add Card.

Your card then shows, with most of its number hidden, and its expiry date. Microkeeper charges it on the 10th of each month.

Update, replace or remove your card

  • New expiry date for the same card: click Edit card, choose the new Expiry Date and click Add Card.
  • A different card: click Replace card, enter the new card's details and click Add Card.
  • Remove your card: next to Remove your credit card details, click Delete Card.

The Billing page warns you when your card is about to expire, and again once it has.

Pay an invoice and view past invoices

Under Invoices, each invoice shows its Invoice #, Invoice Date, Due Date, Total and Status. Paid invoices are highlighted green; hover over the status to see when it was paid. Unpaid invoices past their due date are highlighted red.

To pay an unpaid invoice:

  1. Click Checkout next to the invoice.
  2. Click Credit Card to pay with the card on file, then Confirm. Or click PayPal and follow PayPal's steps.

To see or print an invoice, click View.

If you resell Microkeeper, Reseller Accounts lists the accounts you look after, with their contact details.

Reactivate a suspended account

If your account is suspended, for example because a payment didn't go through, the Billing page says so. Your employees can still use their Employee Console; only users with Settings or Reports access are suspended.

  1. Check your card. An expired card or insufficient funds are the usual causes: update it as above.
  2. Pay any unpaid invoice with Checkout.
  3. Click Activate my Microkeeper account. Monthly billing starts again.

The Activate my Microkeeper account button shows once your latest invoice is paid or not yet due. To extend a free trial, contact Microkeeper.

Cancel your Microkeeper account

  1. At the bottom of the Billing page, click Microkeeper Account Cancel Process.
  2. Choose the main reason you're leaving, and add any comments.
  3. Choose whether Microkeeper should keep your account's data for at least 7 years, as Australian law requires.
  4. Click Confirm Cancellation.

Your account is suspended straight away, and a Microkeeper representative calls you to finish closing it.

Warning

Before you cancel, download the payroll records you need, such as payslips and reports, and make sure your last pay run's Single Touch Payroll lodgement has gone through.

Billing troubleshooting

Why can't I downgrade my plan?

With more than 10 active employees, Microkeeper checks you're not using features the lower plan doesn't include. You'll see "We have determined you are using modules in Microkeeper that are not included in this plan". Contact Microkeeper to review and change it.

Why is my account suspended when I have a card?

The card was probably declined, usually because it has expired or had insufficient funds. Update or replace the card, pay the unpaid invoice with Checkout, then click Activate my Microkeeper account.

Where do I find a past invoice?

Every invoice is listed under Invoices on the Billing page. Click View to open it.
