Personal File Templates

A Personal File Template is a document you write once, such as your letter of offer, and issue to any employee as a Personal File. Variables in it, such as the employee's name, start date and pay rate, are filled in from their profile when it's issued, and you complete the rest for them.

Add employee details to a template with variables

In the editor, open Employee Profile Variables and choose a detail. It's added as a variable, such as {firstname}, which becomes the employee's details when the template is issued to them. The template itself keeps showing the variable.

VariableBecomes
{firstname} {lastname}Their first and last name
{dob2}Date of birth

Publish a Personal File Template

Set Status to Published. Only published templates are offered when you issue a Personal File. A Draft or Archived template isn't.

To use a template, issue it from the employee's profile. See Personal Files.

Draft a document with the AI Chat Assistant

On the Enterprise plan, the editor's AI Chat Assistant drafts a document, or rewrites or formats the one you're writing.

  1. In the editor's toolbar, click the AI Chat Assistant.
  2. Ask for a draft, such as "A letter of offer for a casual bar attendant", or ask it to rewrite what's in the editor.
  3. Check the suggestion, and click Apply.

It works in templates and in Personal Files. Check what it writes before you issue it.

Personal File Templates common questions

Why does my template show {firstname}?

Variables are filled in when the template is issued to an employee, so the template shows them as they are. Issue it to an employee to see their details.

Should my employment contract be a template?

If every employee signs the same contract, and only their name and details change, make it a skill in the Contracts category instead. Staff in its Group each sign it, with their own details filled in. Use a template for a document you complete for each employee, such as their pay and hours. See Skills and Documents.

Why isn't my template offered when I add a Personal File?

It's a Draft or Archived. Set its Status to Published.

Does changing a template change files I've already issued?

No. Each file is copied from the template when it's issued.
