Add Your Staff

This is step 4 of Quick Start. It adds your employees to Microkeeper and sends them their logins, so they can fill in their own details for payroll.

By the end of this step you'll have:

  1. Added your employees and sent their welcome logins.
  2. Set each employee's pay rate.
  3. Checked what your staff still need to complete.

Before you add your staff

For each employee you'll need their name, mobile number, email, start date and employment type, and their hourly rate or salary.

Adding a lot of staff? You can import them from a spreadsheet instead. See Import Staff, then come back to check what your staff still need to complete.

Add an employee

Navigate to Menu > HR > Add Employee. The Onboard New Staff page opens.

  1. Enter the Given Name, Surname, Mobile Number and Email.
  2. Under Send Employee Welcome Letter, tick Email.
  3. Set the Start Date to the day they started working for you.
  4. Choose the Employment Type.
  5. If you have more than one pay cycle, choose their Pay Cycle Allocation.
  6. Click Add Employee.

The page shows Employee added, with a link to the new employee's profile. The form clears, ready for the next employee.

Warning

Pay runs leave out anyone whose start date is after the pay period. Set the real start date, not today's date, for staff who already work for you.

Set the employee's pay rate

Add Employee doesn't ask for a pay rate. Click the username link in the Employee added message to open the employee's profile.

  1. Under Personal Details, enter their Position.
  2. Under Payment and Employment, enter their Default hourly rate under Rates.
  3. Enter their Weekly Ordinary Hours, for example "38".

Each field saves as soon as you change it. For a salaried employee, choose Salary instead of Timesheet. Award penalties and loadings come later, in Set Up Your Pay Rules.

What your staff do with their welcome login

The welcome email gives each employee their username and a first password. When they log in, they click Continue Onboarding on the Employee Console, then enter their own tax file number declaration, bank account, super fund and emergency contact, and confirm their email and mobile.

Check what your staff still need to complete

Navigate to Menu > Settings > Employees, then click the Staff Added box. The Onboarding Review page opens.

  1. In Started, choose Everyone still outstanding. It opens on staff who started last month.
  2. Under Exclude steps, choose Not Payroll Critical and click Apply.

Anyone still listed is missing something payroll needs, such as a tax file number, bank account or super fund. To send someone their login again, click Welcome on their row.

Next step: roster your first week

Continue with Roster Your First Week to give your staff their shifts.

Adding staff troubleshooting

Why is this employee missing from the pay run?

Check their Start Date is on or before the last day of the pay period. If you have more than one pay cycle, also check they're in that pay cycle's Group.

Why isn't my new starter listed on Onboarding Review?

Onboarding Review opens on staff who started last month. Choose Everyone still outstanding in Started.

Why am I listed on my own Onboarding Review?

The account owner is listed like any other employee. You can ignore your own row if you aren't paid through Microkeeper.
