Microkeeper Privacy Policy
1. Definitions
1.1 This Privacy Policy ("Privacy Policy") explains the collection, use and disclosure of your personally identifiable information ("PII") by Microkeeper Pty Ltd. ("Microkeeper") (ABN 95 149 280 320) in relation to your use of Microkeeper's Internet platform at www.microkeeper.com.au (hereinafter "Website") and any services that Microkeeper provides through this Website (hereinafter "Services").
1.2 When we use the term personally identifiable information ("PII") in this Privacy Policy, we mean information that would allow someone to identify you, such as your name, address, location, email address or mobile phone number.
1.3 You decide which personal information you provide to Microkeeper. In some circumstances, personal information may also be provided by your employer or an authorised administrator for the purpose of providing the Services. Microkeeper is fully committed to respecting your privacy, protecting the information provided to us and complying with applicable data protection laws and regulations.
2. What kind of PII do we collect?
2.1 You can visit our Website and use some of our Services without providing any personal data. In the following instances, Microkeeper may collect PII provided by you, your employer or an authorised administrator:
(a) When you register to establish a user account for our Service on our Website, you provide your email address and may also provide additional information, such as your real name and location. You may also upload a business logo. You may change or delete this information at any time under "Settings" in your account, subject to applicable legal and operational requirements.
(b) When you register to establish a subscription user account for our Service on our Website, you may also provide your real name, address and payment information necessary for us to receive payment.
(c) When you send us an email, you provide your email address and may also provide additional PII.
(d) When you participate in our forums or blogs, you may provide PII.
(e) Mobile information. Microkeeper may collect your mobile phone number when it is provided by you, your employer or an authorised administrator, or when you enter, update or verify your mobile phone number through the Microkeeper Service.
Microkeeper may also record information associated with mobile verification and SMS messaging consent, including the date and time of consent, the consent wording presented, verification status, messaging preferences and opt-out status.
3. What do we do with your PII?
3.1 Your PII may be used in the following categories:
(a) Registered Users. When you register to obtain a user account on our Website ("Subscription Account"), we ask you to provide your email address to create your account and establish a password and profile. Providing your real name and any additional PII may be optional depending on the Services being used. We may use that PII to establish and maintain your account, send important information about Service updates and provide features available to Registered Users.
(b) Subscription Account. If you establish a Subscription Account, we use and retain your PII to provide the relevant agreement, process your application and collect payment. If we ask you for payment information, we transfer this information in a secured format. Microkeeper uses industry-standard security protocols, including SSL. Microkeeper does not sell or otherwise distribute your payment information.
(c) Emails, Newsletters and Notifications. We use the PII you provide when you send us emails to respond to your request. We may also use your PII to send notifications relating to your account. Where permitted, and where you have not objected, we may use your email address to send newsletters. You can unsubscribe from newsletters at any time using the unsubscribe link included in each newsletter.
(d) SMS Messaging. Microkeeper may use your mobile phone number to send non-promotional messages associated with the Microkeeper Service.
Depending on the Services enabled by you or your employer, these messages may include:
- One-time verification codes;
- Multi-factor authentication codes;
- Mobile phone number verification messages;
- Account access and account recovery messages;
- Security notifications concerning changes to your account or sensitive information;
- Account activation messages; and
- Workforce-related notifications, employment-related messages.
The available message types depend on the messaging program and the features enabled for your account. Message frequency varies according to account activity, authentication requests and notifications initiated through the Microkeeper Service. Message and data rates may apply.
Where applicable, you may opt out of an SMS messaging program. Opting out of SMS does not prevent Microkeeper or your employer from providing important information through other available channels, including email, push notifications, in-product notifications or direct contact.
SMS delivery is subject to mobile carrier and network availability and cannot be guaranteed. Where SMS is used for authentication, opting out may prevent you from using SMS as an authentication method until you opt in again or select another available authentication method.
4. Does Microkeeper disclose or share your PII?
4.1 Where Microkeeper works with contractors and service providers to deliver the Services, your PII may be accessible to those third parties only to the extent reasonably necessary for the technical administration, maintenance, security and delivery of the Services. Microkeeper may also disclose your PII where you explicitly consent to the disclosure or where Microkeeper is required or permitted to do so by applicable law.
4.2 Mobile information and messaging consent. Microkeeper does not share, sell, rent or otherwise provide your mobile phone number, SMS opt-in information or SMS messaging consent to third parties or affiliates for their marketing or promotional purposes.
Microkeeper may provide mobile information to telecommunications carriers, messaging providers and other service providers only where reasonably necessary to operate, support and deliver the messaging service, maintain security, prevent fraud, comply with legal obligations or provide the Microkeeper Service.
Those service providers are not authorised by Microkeeper to use your mobile information or messaging consent for their own marketing or promotional purposes.
5. How do we protect and secure the PII you provide on our Website?
5.1 Microkeeper has implemented a variety of measures to protect against unauthorised access to and unlawful interception or processing of PII that Microkeeper stores and controls. However, no website or information system can fully eliminate security risks. Third parties may attempt to circumvent security measures to unlawfully intercept or access transmissions or private communications.
6. Data Usage Policy: Non-Personal Browsing and Site Usage Information
6.1 Our Data Usage Policy covers how we maintain and use information about you that is collected by our Website and server logs.
(a) Non-Personal Browsing Information We Collect. When you use the Website, our servers, which may be hosted by a third-party service provider, may collect anonymous information indirectly and automatically about your activities while visiting the Website and information about the browser you are using for the purposes stated below.
(b) Use of Non-Personal Browsing Information We Collect. We do not ordinarily link browsing information or information from our server logs to the personal information you submit to us. We use this information for internal purposes, including understanding how the Website is being used, improving our Website and Services and administering our systems. We may use a third-party analytics provider to help collect and analyse non-personal browsing information for those purposes.
(c) Google Analytics. This Website uses Google Analytics, a web analytics service provided by Google, Inc. ("Google"). Google Analytics uses "cookies", which are text files placed on your computer, to help the Website analyse how users use the site. Information generated by the cookie about your use of the Website may be transmitted to and stored by Google. Google may use this information to evaluate your use of the Website, compile reports on Website activity and provide other services relating to Website activity and internet usage. Google may also transfer this information to third parties where required by law or where those third parties process the information on Google's behalf. You may refuse the use of cookies by selecting the appropriate settings in your browser. However, doing so may prevent you from using the full functionality of the Website.
(d) Cookies. We use cookies to help you use the Services and collect data that may be used to improve the efficiency and quality of the Services. We may use cookies to identify you as a valid user and personalise your Microkeeper experience in conjunction with your profile. We may employ non-persistent session cookies and persistent cookies, which remain on your device after you have gone offline. Most browsers have cookies turned on by default, but you may disable cookies or restrict their use through your browser preferences. If you disable cookies, you may not be able to use a significant proportion of Microkeeper's functionality.
7. Third-Party Sites
7.1 The Website may include links to other websites. This Privacy Policy does not apply to, and we cannot control the activities of, those websites. You should review the applicable privacy policies of those third-party sites.
8. Changes and Updates to this Privacy Policy
8.1 We may occasionally update this Privacy Policy. When we do, we will revise the Last Updated date below. Changes to our Privacy Policy will be made available on our Website so visitors can remain informed about the information we collect, how it may be used and the circumstances in which it may be disclosed.

10. Access, correction and withdrawal of consent
10.1 You may contact Microkeeper at info@microkeeper.com.au to request access to, correction of or deletion of personal information held about you, subject to applicable legal and operational requirements.
10.2 You may withdraw consent to optional communications without withdrawing consent to all use of the Microkeeper Service. For example, where applicable, you may opt out of an SMS messaging program.
10.3 Withdrawing consent from a particular communication channel may prevent Microkeeper from providing certain features through that channel. Microkeeper or your employer may continue to provide necessary account, legal, security or employment-related information through another available channel.
11. SMS opt-in path
Opt-in Method 1: Microkeeper Account Registration
A user may opt in to receive SMS messages from Microkeeper while registering a new Microkeeper account through the publicly accessible registration page at https://microkeeper.com.au/register.php. During registration, the user enters their account and contact information, including their mobile telephone number. Before completing registration, the user is shown an SMS consent disclosure explaining that, by selecting the SMS opt-in checkbox, they agree to receive text messages from Microkeeper relating to their account and use of the Microkeeper service. These messages may include account verification messages, security notifications, employee and workforce-management notifications, roster or shift updates, payroll-related notifications, service announcements and customer-support communications.
The disclosure identifies Microkeeper as the sender and advises that message frequency will vary depending on the user's account activity, notification settings and use of Microkeeper. It also states that message and data rates may apply and that consent to receive SMS messages is not a condition of purchasing or using the service. The user is provided with links to Microkeeper's Privacy Policy and Terms of Use. To provide consent, the user must actively select the SMS opt-in checkbox before submitting the registration form. The checkbox is not pre-selected.
Opt-in Method 2: Employee Onboarding
A user may also opt in to receive SMS messages while completing employee onboarding after being invited to join their employer's Microkeeper account. The employee receives an onboarding invitation from their employer to access the Microkeeper employee onboarding process.
During onboarding, the employee reviews or enters their personal and employment information, including their mobile telephone number. As part of this process, the employee is shown an SMS consent disclosure explaining that, by selecting the SMS opt-in checkbox, they agree to receive text messages from Microkeeper in connection with their employment and their employer's use of the Microkeeper service.
To provide consent, the employee must actively select the SMS opt-in checkbox and then submit or continue through the onboarding process. The checkbox is not pre-selected, and simply entering a mobile number does not constitute SMS consent.
