Teamtailor Setup

Teamtailor is a recruitment and applicant tracking platform with employer branding tools built in.

The Microkeeper integration creates a new employee and starts their onboarding when a hired candidate is sent from Teamtailor.

This guide covers how to:

1. Connect Teamtailor to Microkeeper.
2. Generate a Microkeeper Activation Key.
3. Set up a trigger to send hired candidates automatically.
4. Send individual or multiple hired candidates to Microkeeper.
5. Understand what candidate data is transferred.

Connect Teamtailor to Microkeeper

1. To create a Teamtailor account, contact our sales team.
2. In Teamtailor, add Microkeeper as an integration through Settings > Integrations > Marketplace activations.
3. Generate a Microkeeper Activation Key using the steps in the next section.

Generate a Microkeeper Activation Key

1. Log in to your Microkeeper account.
2. Go to Settings and select Employees.
3. Select Teamtailor Connected and follow the prompts to generate your Activation Key.

Set up the Teamtailor trigger

Teamtailor uses triggers to automatically send candidates to Microkeeper when they reach the Hired stage. Set up the trigger separately for each job.

1. Open the job in Teamtailor and navigate to its hiring pipeline.
2. On the Hired stage, click the 3 Dots.
3. Select Triggers.
4. Under Integrations, select Send Microkeeper Webhook.

Once configured, any candidate moved to the Hired stage for that job will be sent to Microkeeper automatically.

Send a hired candidate to Microkeeper

Once the trigger is configured, move the candidate to the Hired stage.

1. Open the job in Teamtailor and locate the candidate.
2. Move the candidate to the Hired stage.
3. A new employee is created in Microkeeper and a welcome SMS and email are sent.

Send multiple hired candidates to Microkeeper

Use bulk selection when multiple candidates need to be moved to the Hired stage.

1. In the top-right of the pipeline, click Bulk Select.
2. Select the candidates you want to send.
3. Click Move and select the Hired stage.
4. Each selected candidate is sent to Microkeeper and receives a welcome SMS and email.

What data is transferred from Teamtailor to Microkeeper

When a candidate is sent to Microkeeper, the following information is mapped to their new employee record. Email, phone number and position may be blank if Teamtailor does not contain a value.

Additional data can be transferred through Teamtailor custom fields. A field is only mapped when its API name matches a supported Microkeeper field or a custom field in your Microkeeper account.

Teamtailor custom field API names are normalised to lowercase letters and numbers only, then matched against supported Microkeeper fields. Some examples are:

Account-specific custom fields

If your Microkeeper account has custom fields configured, Teamtailor custom fields can also map to these. The Teamtailor API name can match either the Microkeeper custom field name or field code.

For example, a Teamtailor field API name of favourite-pizza can map to a Microkeeper custom field named Favourite Pizza or coded favourite_pizza.

For account-specific custom fields, values are validated according to the Microkeeper field type. Dates are formatted as YYYY-MM-DD, booleans are converted to yes or no, and numeric or alphanumeric IDs are cleaned automatically.
