Teamtailor Setup

Teamtailor is a recruitment and applicant tracking platform with employer branding tools built in.

The Microkeeper integration allows you to push hired candidates from Teamtailor directly into Microkeeper as new employees, triggering the onboarding process automatically.

This guide covers how to connect Teamtailor to Microkeeper, how to push hired candidates across as new employees, and what candidate data is transferred in the process.

Connecting Teamtailor to Microkeeper

1. Create a Teamtailor account.
2. In Teamtailor, add Microkeeper as an integration (Settings > Integrations > Marketplace activations)
3. Refer to next section on how to generate your Microkeeper Activation Key.

Generating Microkeeper Activation Key

Follow these steps to generate your activation key:

1. Log in to your Microkeeper account.
2. Go to Settings and click on Employees.
3. Select Teamtailor Connected and follow the prompts to generate your activation key.

Setting up the trigger

Teamtailor uses triggers to push candidates to Microkeeper automatically when they reach the Hired stage. This needs to be configured for each job.

Follow these steps for each job:

1. Open the job in Teamtailor and navigate to the hiring pipeline.
2. On the Hired staff, click the 3 dots.
3. Select Triggers.
4. Under integrations, select Send Microkeeper Webhook.

Once the trigger is set up, any candidate moved to the Hired Stage will be pushed to Microkeeper automatically.

Pushing a candidate from Teamtailor to Microkeeper

Once the trigger is configured, moving a candidate to Hired is all that's needed.

1. Teamtailor: Open the job and locate the candidate.
2. Teamtailor: Move the candidate to the Hired stage.
3. A new employee will be created in Microkeeper. A welcome SMS and email will be sent.

Pushing multiple candidates from Teamtailor to Microkeeper

When bulk hiring is required, it's possible to push multiple candidates to Microkeeper in one action.

Follow these steps:

1. Teamtailor: in the top right of the pipeline, click the Bulk Select button.
2. Select the candidates you want to push.
3. In the menu below, click Move and select the Hired stage.
4. All selected candidates will be pushed to Microkeeper. A welcome SMS and email will be sent for each.

What data is transferred from Teamtailor to Microkeeper

When a candidate is pushed to Microkeeper, the following information is transferred and mapped to the corresponding fields in Microkeeper.

Guaranteed fields

These fields are always transferred for every candidate.

Conditional fields

Additional candidate data may also be transferred, depending on how your TeamTailor custom fields are configured. These fields are only mapped across if the field name in TeamTailor matches a corresponding field in Microkeeper.

There are two types of conditional fields:

Standard Microkeeper fields

TeamTailor custom field keys are normalised (lowercased, letters and numbers only) and matched against known Microkeeper fields. Some examples:

Account-specific custom fields

If your Microkeeper account has custom fields configured, Teamtailor custom fields can also map to these. A Teamtailor field will be matched if its API name corresponds to a custom field name or field code in your Microkeeper account. For example, a Teamtailor field name "favourite pizza" would map to a Microkeeper custom field named "favourite pizza" or coded favourite_pizza.

All conditional field values are validated and formatted before being accepted, dates are normalised to YYYY-MM-DD, booleands are converted to yes/no, and numeric or alphanumeric IDs are cleaned automatically.
