This guide covers how to:
- Add your QuickBooks accounts.
- Export a pay run's journal.
Before you export to QuickBooks
Set the ABN's accounting system to QuickBooks. See Choose the accounting system for each ABN.
Add your QuickBooks accounts
QuickBooks matches each journal line to an account by its name, so each account's Account Name in Microkeeper must be the account's name in QuickBooks, spelt the same.
Open the ABN's Chart of Accounts, from ABN and Pay Cycles. While it has no accounts, it opens the Quick Add Common Accounts window with QuickBooks' usual payroll accounts: Salary and wages - staff, Superannuation - staff, Superannuation payable, PAYG instalments payable and Business Bank Account. Change any names to match your QuickBooks chart of accounts, and click Add Accounts. See Add your account codes.
Export a pay run's QuickBooks journal
- Navigate to Menu > Payroll > Payruns and open the pay run.
- Click Complete Payrun, then 3. Export.
- Check each line's Description and Account, and click Save Settings. See Map each pay run line to an account.
- Click Quickbooks Export.
The CSV has the columns JournalNo, JournalDate, AccountName, Debits, Credits, Description and AccountCode. Every line has the same JournalNo, naming the pay run, and is dated its Payment Date. Import it into QuickBooks as journal entries.
